Project Details

Spawglass, a commercial and civil contractor based in Texas, embarked on a project to enhance their safety documentation processes by using the GoFormz and Procore integration. This integration allowed SpawGlass to dispatch forms pre-filled with Procore data, automatically update records in real-time, and instantly update analytics dashboards. The implementation began in 2023 and covered various safety forms, including Job Safety Analysis (JSAs), Good Catch Near Miss, and Operator Daily Checklists.

Objectives

SpawGlass needed a solution that could seamlessly integrate with Procore, to eliminate their reliance on traditional pen and paper documentation when completing safety procedures.

This integration also includes Speech-to-Text functionality, enabling a seamless form-filling experience.
  • SpawGlass leverages QR codes for form collection, making it convenient for users to access forms on their devices. The Speech-to-Text feature, available in English and Spanish, further simplifies data collection by allowing users to dictate text directly to their phones.

Outcomes

SpawGlass achieved significant weekly time savings across multiple projects and an increase in form submissions.

  • Weekly time savings of 2.5 hours on one project and 1 hour and 40 minutes on another were found.
  • There were notable efficiency improvements, including a 60% increase in Job Safety Analysis (JSA) form submissions within the first 30 days. The integration facilitated seamless form-filling experiences, real-time updates, and enhanced data analytics, leading to overall improved efficiency and worker satisfaction.

Next Steps & Future Use

SpawGlass plans to expand the use of GoFormz for additional safety and operational processes, including hot work permits. SpawGlass plans to continually add more processes to the QR code-based digital form collection system to improve upon the pilot program. There will be ongoing assessment of time-saving measures and exploring further enhancements to benefit field teams.

BuiltWorlds Analysis

The BuiltWorlds 2024 Project Management & Oversight: Document Management Tech Specialty Report found there is widespread adoption among survey respondents when it comes to the utilization of document management solutions. Nearly all respondents (92%) are currently using a document management solution on 50% or more of their projects. This prevalence highlights the importance of centralizing documents to facilitate speedy communication between the field and the office.

The majority of respondent organizations from the same survey are using one or more document management solutions to meet the needs of their organization. While the data did not collect information on integrations respondents use, given the propensity for companies to employ more than one document management solution it appears the capabilities of a single solution alone do not suffice. Organizations would likely save money using their primary project management solution as their primary document management solution, and then considering integrations like GoFormz where needed.

A crucial element of the GoFormz integration that benefited expediting and expanding form completion, is that the solution met workers where they are at. Many construction workers are Spanish-speakers, especially in a state like Texas, so having a Speech-to-Text feature that can handle both English and Spanish is incredibly valuable. Bypassing the need for an email to access the Procore mobile app by using QR codes is another simple solution that resulted in increased form completion and time savings.
